Your bar is not a list
The bars we talked to order cases of things already sitting in the back, and run dry on things they sell every night. Both are the same failure: nobody knows what's actually on the shelf. Not because they don't care, but because finding out means counting what you have, and that type of counting is hard. Most inventory tools hand you a list, usually alphabetical or grouped by category, because that's how a spreadsheet is organized. Your stock isn't. It's in the well, on the back bar, in the walk-in, in a crate in the corner of the office. Counting means translating between the sheet and the location, by hand, hundreds of times, usually after close, when folks are tired.
The list is the wrong shape
Counting becomes a lookup problem
The hard part isn't the counting. It's the things a standard list format forces you to do: read a name off the list and go find that bottle on your shelves, or stand in front of a shelf looking at a bottle and scan the list looking for it. Either way you're spending time doing a lookup, over and over.
It gets worse when the same product isn't in just one place. The list usually has a single line for it. Reality has three bottles behind the bar, a case in back, and the extra one somebody grabbed for service and never brought back. You can't check that line off without covering the whole building, and if something pulls you away halfway through, you've lost your place and there's no way to tell from the list where you were.
Also you usually need to do it all to get an accurate view. Which is why a full count barely happens. It isn't that nobody wants the final numbers. It's that the two things you are trying to reconcile are shaped differently and you have to be the glue.
The count moves with you
It follows you, not the alphabet
So we changed the shape. Instead of a list that you have to map to your bar, the count follows you: you read in the order the bottles are actually sitting in, wherever you're currently standing. No lookup in one direction, no hunting in the other, no losing your place when someone pulls you away. You keep moving, and the count keeps up. You count the section you have time for or the one you feel needs it. It's not all or nothing.
What we designed for
Knowing where something is stops being a separate job
This one was deliberate. If it's in inventory, we know where it is. Nobody's maintaining a second sheet just to track where things sit, and nobody has to remember to go update it when something moves, because the count already reflects wherever it actually is.
So the case in the back is visible before somebody orders another one, and the rye being down to one bottle is something you know before a guest asks. Where is the last bottle of the good rye stops being a question you ask three people and wait for an answer. It's just a fact the count already has.
What it doesn't know
This only works for what's actually being tracked. A bar that's put half its stock in only has half a picture, not a fuzzy version of the whole. We'd rather say that plainly than let you assume there is more. What we know, we know well. What we haven't been shown yet, we don't guess at.
Physical counting doesn't go away either, and we won't pretend otherwise. Somebody still has to walk over and look at what you have. What changes is that counting becomes much easier. It stops being finding and matching rows, and becomes confirming what you see.
